As our Operations Specialist, you will be responsible for supporting the various aspects of the Strategy & Operations function at Jarvis. 

Job Responsibilities:

Onboarding Support (45%):
Onboard contractors starting placements with our clients and ensure they have access to the necessary resources ahead of their first day including:

  • Creating and sending out Consulting Services Agreement
  • Conducting background checks
  • Updating and maintaining client’s vendor management systems 
  • Creating WSIB forms and gathering all necessary documentation for contractor rulings
  • Providing ongoing communication and onboarding support to contractors
  • Working with the client to ensure hardware is shipped in a timely manner
  • Working with client’s vendors to ensure vendor management systems are up to date
  • Ensuring all steps in the onboarding process are completed in a timely manner

Post-placement Support (20%):

Manage the post-placement process for candidates including:

  • Processing off-boarding and extension requests
  • Coordinating the return of equipment
  • Completing proof of income letters
  • Making amendments to vendor management systems
  • Monthly Candidate reports 
  • Incorporations Registration auditing 

Internal Support/Continuous Improvement (20%):

Cross-collaboration with other departments within Jarvis to provide additional support including:

  • Ensuring that delivery conforms to Jarvis’ policies, standards and guidelines including:

    • Conducting regular placement and compliance audits to ensure records are accurate and up-to-date in our applicant tracking system Bullhorn

    • Auditing of current processes to ensure data integrity/accuracy, as well uncovering and addressing process gaps

  • Ad-hoc support for our internal operations which can include, but not limited to:

  • Contractor escalations, contract management support, administrative support for Jarvis’ vendors, and cross-functional support

Timesheet Management (15%):

Ensuring timesheets are submitted on a weekly basis for all our contractors/employees including:

  • Ensuring the accuracy and completeness of timesheet entries
  • Importing of timesheets, data entry, and validation on a weekly basis
  • Completing follow-ups with both contractors/employees and managers to ensure timely payments
  • Investigating and resolving any contractor/employee complaints or inquiries regarding timekeeping data
  • Collaborating with our Finance department on a weekly basis to review timesheets and ensure invoices are paid out on a timely basis

  • Fluency in spoken and written French is considered an asset
