The Retail Wealth Enablement Operations department plays a pivotal role in the organization’s strategic expansion into a new Investment Dealer. This team is responsible for not only initiating and nurturing the wealth management segment but also ensuring operational excellence with a keen focus on first time-right process design. We place a strong emphasis on partner servicing, aligning with internal and external stakeholders, and driving process optimization to create efficient, cost-effective operations that meet both current and future scalability requirements. Role Overview
The Operations Analyst will play a key role in supporting the daily back- and mid-office operations of our growing securities dealer. This role involves hands-on work with client onboarding, transaction processing, and interpreting system-based information for internal teams and advisors. Candidates must have experience in a CIRO/IIROC-regulated environment and working knowledge of securities back-office operations. The ideal candidate thrives in a collaborative, fast-paced, and build-mode environment—this is not an independent or siloed role.
What will you do?
The successful candidate will be responsible for a wide range of activities, from planning and development to the practical execution of wealth management solutions, including the following:
- Subject Matter Expertise: Act as a subject matter expert on initiatives related to day to day operational processes.
- Operational Excellence: Deliver operational excellence within the wealth business, ensuring seamless and efficient operations through best-in-class processes.
- Stakeholder Liaison: Build and maintain strong working relationships with internal stakeholders (ie: advisors, compliance, product, management) and external partners (ie: carrying broker, 3rd party vendors, manufacturers).
- Ongoing Support: Support various projects related to the establishment and further enhancement of the dealer platform.
- Processing: Support securities dealer processes and day to day requirements to run the business, including transaction processing, reconciliation, fees, account management, and other operational activities.
- Special Projects as requested.
Key Responsibilities
- Support all aspects of new account openings, with a focus on operational efficiency and regulatory alignment.
- Process cash movements, transfers, and other transactional activities related to client accounts.
- Ensure operational accuracy in partnership with the custodian (National Bank).
- Validate batch files and align data across systems to support back-end accuracy and reporting.
- Work closely with internal teams to translate system and data complexities into clear updates for advisors and clients.
- Respond to advisor inquiries, assisting with issue resolution related to account setup, servicing, or process flow.
- Contribute to ongoing process and system development, offering insight on limitations and opportunities as we scale.
- Maintain accuracy and urgency in completing tasks in line with securities business operations.
Required Skills & Experience
- 3–10 years of experience in securities operations, brokerage back-office, or similar functions.
- Direct experience working within a CIRO/IIROC-regulated environment.
- Familiarity with operational tasks in a securities dealer or brokerage context.
- Strong knowledge of investment management industry and products and services within the financial services market
- Experience working with a custodian such as National Bank.
- Intermediate to advanced Excel skills (including VLOOKUPs, formulas, data sorting, etc.).
- Comfortable working with data-heavy tasks, batch files, and understanding system limitations.
- Strong communicator capable of working across departments and translating technical insights to business teams.
- Fast learner who thrives in a small, collaborative team environment.
- Ability to adapt in a build-mode context and contribute to the development of new workflows and systems.
- Detail-oriented and able to manage multiple responsibilities with urgency and accuracy.
Nice to Have
- Familiarity with automation tools or advanced operations technologies.
- Experience with KYC/AML, ATON transfers, or other wealth industry onboarding practices.
- Understanding of various registered and non-registered account types (RRSP, TFSA, LIRA, etc.).
- Knowledge of regulatory changes within CIRO or similar entities.
- Background working in startups or high-growth environments.
- Enrolment in or completion of a professional designation or certification preferred (MBA, CFA, CSC)
